Contracts give every software agreement a home in Viio. Record who you buy from, what the contract covers and what it costs, and Viio keeps track of the term, the next renewal and the last day you can give notice.
Find Contracts in the sidebar under Manage. Every application and vendor page also has a Contracts tab that lists only the contracts for that app or vendor.
The 'Contracts' list
Contracts are split into All, Active and Expired tabs, each with a count.

Renewal | "Renews" or "Expires" with the date, and the cancel-by date below it. Notice due means the cancel-by date is within 30 days; Notice deadline passed means it has gone. Month-to-month contracts show Monthly and their notice period. |
Term | The term length, the dates of the current term, and a ring showing how much of it has passed |
Total value | The total contract value and its value per year |
Use the columns button to add Auto-renews, Billing frequency and Payment terms. Search by name, or click Filter to narrow the list by product or vendor, status, renewal date, start or end date, cancel-by date, billing frequency, auto-renewal, renewal term, supplier or contract number. For example, filter on cancel-by date to see every contract you need to decide on this quarter.
Click the download icon to export the list to CSV, including the calculated dates, number of renewals, notice period and contract values.
Create a contract
Click Create contract. Viio creates the contract and opens it with the name field selected. On an application or vendor's Contracts tab, the new contract is already linked to that app or vendor.
Type a name (up to 100 characters).
Fill in the Details panel on the right. Each field saves as you go, so there is no Save button.

Term | 1, 3, 6, 12, 24 or 36 months. The End date follows the term. To use another end date, click Edit end date; the term then shows as Custom. |
Auto-renews | Whether the contract renews automatically at the end of each term |
Renewal term | How long each renewal lasts. It matches the term unless you change it, and is required when the term is Custom. |
Notice period | How many days before the end of a term you must cancel (1–365). Shown when Auto-renews is on. |
Currency | The contract's currency |
Billing frequency | How often you're invoiced, from Monthly to Yearly, or One-time |
Payment terms | Free text, for example "Net 30" |
Total value | The full contract value. Viio also shows it in your workspace currency. |
Viio calculates three more rows from these fields:
Current term: the dates of the term you're in now, and which renewal it is.
Renews on (or Expires on if the contract doesn't auto-renew): the next date the contract renews or ends.
Cancel by: the last day to give notice, which is the end of the current term minus the notice period, with the days left.
Example: a contract starts on 16 July 2025 with a 12-month term, auto-renews every 12 months and has a 30-day notice period. It is now in its 1st renewal (16 July 2026 to 15 July 2027), renews on 16 July 2027, and must be cancelled by 15 June 2027.
Link products, vendors and plans
A contract can cover several products and vendors, for example one Microsoft agreement for Power BI and Microsoft 365.
In the contract's Products tab, click Add.
Search for the app or vendor and select it.
Optionally select the plans this contract covers, then click Add to contract. Click Skip to link the product without plans.
Each product gets a card with its licenses, price per license per year and total cost. Expand it to see each linked plan with its licenses, annual unit price, annual cost and savings potential.
To remove a link, open the menu (⋮) on the product or plan and choose Unlink product or Unlink plan.
You can also link a plan from the Licenses page: open the plan, and under Contracts choose Assign to contract. You can pick a contract that covers the same app or vendor, or create a new one. See Create manual license plans for more on the plan panel.
Delete a contract
Open the menu (⋮) on a contract and choose Delete contract. To delete several at once, select them in the list and choose Actions → Delete. Deleting can't be undone. The products and license plans the contract was linked to stay in Viio.

FAQ
What's the difference between Term and Renewal term?
The term is the length of the first contract period. The renewal term is the length of each renewal after it. They're often the same, but a contract can start with 36 months and then renew every 12.
Why can't I see the Notice period field?
It only applies to contracts that renew automatically. Set Auto-renews to Yes and the field appears.
What does "Upcoming" mean?
The contract's start date is in the future.
Can one contract cover several products?
Yes. Add as many apps and vendors as the agreement covers, and link the plans under each.
