Viio AI Assistant

Meet the Viio Assistant (Beta) — an AI assistant built into the Viio portal that answers questions about your workspace, builds charts and analytics boards and creates survey drafts for you.

The Viio Assistant is an AI assistant built into the Viio portal. It answers questions about your own workspace — applications, licenses, spend, renewals, employees, and the insights Viio surfaces — and it can do work for you, like building an analytics board or drafting a survey. It is available on every page, to every member of your workspace, and is free to use during the beta.

The assistant is free to use while in beta. Every workspace includes a monthly usage allowance; if your workspace reaches it, the assistant lets you know. If you hit the limit, contact [email protected].

We're still finetuning the assistant, and your feedback is extremely helpful. Please use the thumbs up / down underneath the assistant answers to help steer the quality.

Open the assistant

You'll find the assistant handle docked to the right edge of every page — a small tab with an animated dot pattern. Click it, or press ⌘ I (Windows: Ctrl I) to open and close the assistant from anywhere.

A new conversation greets you with suggestions to get started — these adapt to the page you're on, so on an Analytics board you'll see "Summarize this board", and on Surveys you'll see "Draft a feedback survey".

Choose your layout

The assistant opens as a floating window you can drag anywhere and resize from any edge — it stays with you as you navigate between pages. Prefer it fixed? Use the layout switcher in the assistant's header to dock it as a sidebar on the right. Your choice, and the window's size and position, are remembered.

What you can ask

  • Applications and vendors — "Which apps are driving the highest spend?", "Tell me about our Slack usage"

  • Licenses and plans — "How many unused Miro licenses do we have?", "Who is on the Enterprise plan?"

  • Renewals — "What renews in the next 90 days?"

  • People — "Who uses Figma in the Marketing team?"

  • Insights — "Where are our biggest savings opportunities?", "Which apps have low adoption?"

Answers aren't limited to text: the assistant builds charts and tables from your live workspace data directly in the conversation, and always pairs them with a short written takeaway. Follow-ups work the way you'd expect — ask it to exclude an outlier, change the chart, or dig into a specific app.

Let the assistant do the work

Beyond answering questions, the assistant can operate two areas of Viio for you:

  • Analytics — create, rename, and populate boards ("Create a board with a bar chart of annual cost by vendor"), adjust charts and filters, and jump you to the result.

  • Surveys — draft a survey for any application, vendor, or product family: pick a template, write the introduction, and shape the questions. You stay in control of recipients, channels, and sending.

The assistant knows which page you're viewing, so "summarize this board" or "draft a survey for this app" just works. Destructive changes — like deleting a board or removing questions — are never applied silently: the assistant stages the change in the conversation and waits for you to press Approve (or Deny).

Conversation History

Every conversation is saved and titled automatically. Click the title in the assistant's header to search your history, switch between conversations, or delete ones you no longer need. The pencil icon starts a new chat. Conversations shared with you appear under Shared with me, and everything you've shared under Shared by me.

Share a conversation

Found something worth showing your team? Use Share in the assistant's header. You can share with specific people, with everyone in your workspace, or create a public link that works without signing in.

A few things to know about sharing:

  • Recipients see a snapshot — a copy of the conversation as it is at the moment you share. Later messages aren't included.

  • Shared conversations are read-only, but recipients can create a copy to continue the conversation as their own.

  • Access always expires — after 1 week, 2 weeks, or 1 month — and you can review and revoke access, or disable a public link, at any time.

Usage during the beta

The assistant is free to use while in beta. Every workspace includes a monthly usage allowance; if your workspace reaches it, the assistant lets you know:

Monthly AI usage limit reached — This workspace has reached its monthly AI assistant usage limit. Access resets at the start of next month — contact support if you need a higher limit.

The allowance resets automatically at the start of each calendar month. If your team is hitting the limit regularly, contact [email protected] and we'll find the right fit.

Privacy and data

  • The assistant only sees your workspace. Every conversation is scoped to the workspace you're signed into, using your own access.

  • Workspace data — apps, licenses, spend, people — is accessed read-only. The only things the assistant can change are Analytics boards and survey drafts, and destructive changes always require your approval.

  • Public share links are excluded from search engines and expire automatically.

  • Use the thumbs up / down under any answer to tell us how the assistant is doing — during the beta, this feedback directly shapes what we improve.

  • Data is in not used for training by third-parties, and stays within the EU.

FAQ

Can the assistant change or delete my data?

No. Workspace data is read-only for the assistant. It can create and edit Analytics boards and survey drafts on your behalf — and deleting a board or removing survey questions always requires you to press Approve first.

Can I rename a conversation?

Conversations are titled automatically from your first question. Renaming isn't available yet — if the title misses the mark, a new chat gets a fresh one.

Is my data used to train AI models?

No. Your workspace data is used only to answer your questions in the moment, and processing stays within EU infrastructure.
