The Viio Browser Extension gives your organisation visibility into SaaS application usage directly from users’ browsers, making it a powerful tool for uncovering Shadow IT and tracking underused or unauthorised subscriptions.

Tracks browser URLs and matches against Viio's Discovery Engine to uncover SaaS apps that are being used (browser-based apps only)

Tracks information about which users are using which specific apps.

Prerequisites

  • Supported browsers: Google Chrome, Microsoft Edge and other Chromium-based browsers (if you're unsure, please reach out to [email protected])

Choosing a version

Viio offers two editions of the browser extension to meet different organizational needs:

  • Silent Edition (Recommended): A background extension designed for enterprise deployment with zero user interaction.

  • Interactive Edition: A user-facing extension with an interface for authentication, and depending on deployment, manual login/logout.

Set Up

There are two primary steps involved in getting the Browser Extension working correctly:

  1. Installing it to all employee browsers

  2. Configuring it to recognise the employee using the browser, so SaaS usage is attributed to the correct employee

Viio supports a number of options for each step. The key questions to ask initially is:


Are you only using centrally managed browsers where all users are logged into work browser profiles using their employee emails?



If the answer is YES:

  • All versions of the Browser Extension will automatically recognise users based on the email of their logged-in browser profile

  • This means you simply have to choose the easiest deployment method to install the Browser Extension on all employee browsers, and it will start working without further configuration

If the answer is NO / ONLY PARTIALLY / etc:

  • Since we cannot guarantee the Browser Extension can recognise employees from their logged-in browser profiles, we will need to pass a customerKey and employeeEmail along with the installation of each extension

How to Install the Extension

Option 1: Centralised Rollout
- Google Chrome (via Google Admin Console):

Use Google’s extension management policies to auto-install the Viio extension across all managed devices

- Microsoft Edge (via Microsoft Endpoint Manager / Intune)

Use Microsoft’s configuration profiles to silently deploy the extension to all managed users

Option 2: Manual Setup (Individual Users)

- Google Chrome:

Visit the Browser Extension Chrome Web Store

Click Add to Chrome

Log in when prompted (for the standard version)

- Microsoft Edge:

Go to the Browser Extension Chrome Web Store (It is the same extension for Edge & Chrome)

"Click" Get to install

Log in when prompted (for the standard version)

Troubleshooting & Support

To verify if your Browser Extension was deployed successfully, log into Viio and go to Integrations > Browser Extension. Here you can see the status of each deployed Extension.

🟢 Installed

Extension is installed successfully and transmitting data

⚪️ Not - installed

Extension has not yet been installed on this device

🔴 No Data Received

Extension is installed but is not reporting any data

If users don’t appear in Viio or usage data isn’t showing up:

  • Make sure the extension is installed and enabled in the browser

  • Verify the user has logged in (if using the standard version)

  • For silent deployments, ensure the proper user identifiers are passed

Detailed Documentation & Technical Details

Viio collects only the data necessary to show usage patterns:

  • Anonymised user ID (unique to each user)

  • Timestamp of visit

  • SaaS application name

(Important) Viio does not collect login credentials, cookies, browser history, or private web data.
