Understand where tools overlap in your organisation so you can right‑size licences and reduce duplicate spend.

What you can do

  • Spot overlap fast: See groups of products with similar feature sets used by the same people.

  • Quantify impact: View how many users overlap across products in each cluster.

  • Compare adoption: Open a cluster to review monthly active users for each product over the last 12 months.

  • Find consolidation opportunities: Identify tools to merge or standardise within your sanctioned stack.


How it works

Viio analyses your organisation’s discovery set and recent usage signals. We use an AI‑driven categorisation model to group products with similar feature sets into similarity clusters.

Viio creates a cluster when at least one user uses two or more products in that cluster. This helps you see real overlap based on actual usage.

Note: The categorisation type for each cluster appears as a tooltip (hover the ? icon).


Where to find it

  1. Go to Viio → Insights.

  2. Select Overlapping products.


Read the Overlapping Products table

Each row represents a similarity cluster.

You can see:

  • Categorisation type: Hover the ? icon to learn how the cluster was determined.

  • Overlapping users: The number of people using multiple products within the cluster.

  • Products in the cluster: The tools Viio grouped together by similar features.


Open a cluster comparison

  1. In the table, select a cluster and click View.

  2. Review the comparison report for that cluster.

The comparison shows:

  • Usage source: Where the usage signal comes from.

  • Historical users by month: A timeline for the last year, per product.

  • Per‑product breakdown: Details to help you decide what to consolidate or standardise.


Tips for licence optimisation

  • Start with clusters that have the highest overlapping user count.

  • Compare adoption trends before removing a tool to avoid disrupting active teams.

  • Use clusters to align on a sanctioned product and migrate overlapping users.

  • Reclaim or downgrade licences where usage is low or duplicated.


FAQ

Why don’t I see a cluster I expect?
Viio only creates a cluster when at least one user uses two or more products in that group. If overlap is low, a cluster may not appear.

How often does the data update?
The comparison view shows usage by month for the last year. Check the usage source in the view for context on signals.

Can I export this data?
If you need an export, contact Viio Support. We’ll advise on current options.
